How to clean up your database? Duplicates/fake users

Go to ADMIN → PEOPLE MANAGEMENT → DUPLICATES

In order to help Villages to clean up their database, you may use the Duplicates feature.

We explain why and how duplicates and fake users are created.

The system will detect duplicates and fake users, but you should also review the All People report to make sure there are no more fake users or duplicates left. The system uses some parameters to detect fake users.

If you click on the DETECT DUPLICATES button, you will see a list of duplicates that the system detects.

It is only possible to merge two profiles at a time, therefore, please select the check boxes to choose those two profiles, you would like to merge first. If you want to merge several profiles, you have to merge several times.

You may choose two profiles selecting the check boxes and then click on the COMPARE button.

You also have the option to add a user by looking for a person on the search bar tool, so that you can add a user's profile to compare profiles later on.

Now the system will show the two profiles comparison. You are able to select the check boxes for the information that you want to select to be transferred.

Before merging two profiles, please check all the information on both profiles and make sure that the system will merge all the information (ie. if on a profile the person is a volunteer make sure you transferred the information to that profile, since when we merge we only transferred the infomation listed below:).

If you are sure both profiles are from the same person, you can click on the MERGE button.

You will see a confirmation message, press OK. The duplicate profile will be archived.

If it is the case where two people have the same name and surname, you can click on the KEEP BOTH PROFILES button.

The other method to clean up your database is the CLEAN FAKE USERS feature.

Robots create fake users, we use Captcha technology to detect these bots. We use different parameters to detect fake users.

The system will show a list of fake users, you can select the check boxes of those profiles you would like to archive or if you are sure, you may SELECT ALL, and then click on the button ARCHIVE SELECTED USERS. 

We recommend you to see the data on a profile, you can see some important data before archiving an user such as event participations, payment, other associated data. If there is any number, we recommend you to view the profile to make sure you will not archive an user who should not be archived.

There is a search bar tool where you can find whoever user you have detected as a fake user so that you will be able to archive this user's profile.
