How to create a zoom event with version 1?

In this guide, we will explain how to add a Zoom meeting link to an event in Helpful Village using a shared link.

However, for greater security and easier access for your Villagers, we recommend using the Zoom Module Premium Feature. It provides attendees with personal meeting links and makes joining online events more convenient.

1. Create a New Event

Navigate to Events → Events List → ADMIN FEATURES → NEW EVENT.

Complete the event details as you normally would when creating a new event.

2. Select the Shared Link Option

After entering the event description and configuring the event's visibility, locate the online meeting section.

Select Use a less secure way with a shared link.

3. Add Your Zoom Meeting URL

Follow these steps to connect your Zoom meeting to the event:

1. Check the box Is there an online meeting URL?
2. Paste your Zoom meeting link into the Online meeting URL field.
3. Check the box I accept the risk, I wish to... to acknowledge the security risks associated with using a shared link.

4. Configure Instant Registration

💡 Important: To display the Join Online Meeting Now button, you must select an RSVP option that supports instant registration:

• RSVP and instant registration.
• No RSVP and instant registration.

You must also set the registration deadline to the end of the event. This prevents registration from closing before the event ends, allowing the Join Online Meeting Now button to remain available to attendees.

5. Save Your Event

Once you have completed the configuration, click SAVE to save your event and its Zoom meeting link.

Important Security Notes

• Do not select “Is there an external registration URL?” if attendees are registering directly through Helpful Village.
• Do not add the Zoom meeting link to the event instructions. For security reasons, we recommend keeping the meeting link in the designated Online meeting URL field.
• Attendees can click the Join Online Meeting button on the event page to go directly to the Zoom meeting.
