1. Managing which events are showing on the website and in the Upcoming Events Email
The events that appear on the public website and in the weekly upcoming events email are affected by the Category you assign to each event. This gives you control over which events are displayed publicly or privately. Each event category can be set to "IS VISIBLE TO ALL?"
Here’s how it works:
Go to ADMIN → Settings → Events → Configure Event Categories → Pick the Category → Edit button → Mark Is Visible to All check-box.
If the category is not visible to all, the event will only appear in the calendar to logged in villagers.
In addition to that, each event visibility can also be managed on a per event basis. Hidden events are only visible to admins.
This allows you to showcase specific events publicly while keeping others private or restricted to logged in villagers only.
*The event category can be modified or created by admins under Menu → Settings → Events (tab).
2. Organizer Privacy Settings
When displaying events on the public calendar or in the list of events, privacy is a top concern, especially when it comes to protecting personal information about your members. Here’s how you can control what’s shown:
Address Privacy: For public events, you can choose to show your event but restrict the visibility of event addresses with the checkbox for "IS THIS A PRIVATE ADDRESS?" which hides the address on public pages.
Here’s how it works:
Main Menu Event → Event List → Scroll to the end of the webpage → Press the [Admin] New Event button → Mark the IS THIS A PRIVATE ADDRESS check-box.
3. How to Use the “Conversation About This Event” Feature
The “Conversation About This Event” feature in Helpful Village allows members and volunteers to communicate and coordinate details related to an event.
All logged-in users (both members and volunteers) will be able to see and participate in the conversation. This allows everyone attending or interested in the event to engage, ask questions, and share important details. The conversation feature will only be visible to logged-in villagers. This ensures that the discussions and coordination remain private and accessible only to logged in villagers.
Therefore, if admins want to share information, they can publish public details in the Event Description and private details in the Event Conversation.
This feature is perfect for discussing event logistics, sharing updates, and ensuring smooth coordination among participants.
By properly configuring these settings, you ensure that members’ private information, such as full names and addresses, remains protected while still providing the necessary details for the event.
