This will address how a volunteer can see and interact with open, matched, and completed service requests
Daily Volunteer Email
- The HV system is built to send out an automatic email every morning starting at 10 am (local time of the Village) to active and screened volunteers.
- This automatic daily email needs to be activated on the Helpful Village website. It can be done by going to: Admin → Settings → Services → check the box “Send Automatic Daily Email to Volunteers?” in Service Settings section
- This email will contain open service request opportunities that match the volunteer's skills that are marked on their profile. (service groups that are marked under their volunteer profile, such as transportation or/and handyman)
- Because of the different volunteer profiles (skills offered), each email will be customized per volunteer and will differ to each volunteer's skills.
- There will only be a max of 5 open service requests per email.
- Examples of daily volunteer emails are shown below.
💡Note:
- This daily email can be adjusted to send on a different schedule, such as Monday, Wednesday, Friday, etc. Please contact HV to ask them for more information.
Instant Confirmation Email
- Once an active Volunteer is matched to a future open service request (either by the volunteer themselves or by admin) the volunteer will receive an automatic confirmation email that contains the service request and members info.
- An example of a confirmation email is shown below.
💡Note:
- This automatic confirmation email can be activated for members as well that will let them know their service request has been matched with a volunteer. Please contact HV to ask them to activate.
Reminder Email
- Once an active Volunteer is matched to a future open service request (either by the volunteer themselves or by admin) the volunteer will receive an automatic reminder email the day before the service that contains the service request and members info.
- If the service request has a status of ‘open’ but is in the past, you can match it with a volunteer and the status will then move to completed and no confirmation email will be sent because it was already completed.
Service Evaluations
- Starting at 6 pm (local time of the Village) an automatic email will be sent to volunteers that completed a service request that was scheduled for that day.
- The email will ask them to evaluate the service they completed. It will contain a link to an evaluation.
- Volunteers can also find all their evaluations under the ‘Volunteers’ menu, labeled ‘service evaluations’.
- This is a feature intended for the volunteer to leave feedback about the actual service, not the member.
- An example of a confirmation email is shown below.

This automatic email containing a service evaluation link can be activated for members as well that will let them evaluate their service. Please contact HV to ask them to activate.
Browsing open requests at any time
- Active Volunteers can also login to the system and browse open service requests that match their profile at any time.
Examples of the Daily Volunteer email:
The first example is for a volunteer with many skills/services checked on their profile.
The second example is a daily volunteer email sent on the same day for a different Volunteer with different skills/services checked on their profile.
