How to set up the Upcoming Weekly Events email?

The upcoming weekly events email is an automatic email that pulls the next two weeks of events from your platform

This feature is only possible when your HV platform is synchronized with a MailChimp account. 

This tutorial will show you how to customize the template used for your automatic upcoming weekly event email.  

This is an automatic email that gets sent Sunday Mornings starting at 11 am (local time of the Village). The automatic email will have a customized intro section and then will show the upcoming events that are in your HV calendar for the next two weeks. 

This email gets sent to the "Events" mailing list that can be found under ADMIN → People Management → Groups → Mailing Lists. 

For the Events Mailing list, you can have it be as customized as you would like. For example, only Active Members are on the Events mailing list, or maybe Active Members and Active Volunteers, or maybe it’s a much larger and wider range mailing list of people. 

Step 1: ADMIN → Settings

Step 2: After pressing the "Email Templates" button, we select from the list of templates, the "weekly events email intro" and then edit it.

Step 3: This is what the intro is like by default. You can update it to include your info. We recommend modifying this to include a logo and Event highlights.

💡 Note:
If you use specific times in the fixed-top portion of your template like in the recommended template they will be sent like that by default every week on Sunday. 

To avoid sending information that is out of date either update this template on a weekly basis or simply just use a message that does not contain time-sensitive data.

💡 Note: 

• Always update user’s email information on Helpful Village, not on Mailchimp.

• Helpful Village will synchronize with mailchimp making sure the information is accurate, however this does not work the other way around, Mailchimp will not send user’s email information back to Helpful Village.
